RUNNERS’ CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
November 6, 2012 - 7:00 PM
Potbelly – Rookwood Plaza, Cincinnati, OH

Present: Gina Meyers, Todd Hofacre, Ryan Smith, Tom Glasscock and Ryan Woolley.

Guest: Rebecca Homan

Absent: Jascia Redwine

Meeting came to order at 7:00 PM.

Meeting Minutes:  The September minutes were approved as submitted by Jascia.

Financial Report: Ryan Woolley reported that we have $14,970.63 in the bank, with no checks outstanding. Todd reported that he had made two deposits from Paypal and race support. Gina met with a representative at 5/3 Bank to open a savings account, and transferred $3,000. from our checking account. Gina will need to submit a signed form and copies of photo IDs to get additional board members names added to the account.

Equipment: The Board agreed on purchasing a new race clock for the Club. We reviewed several options for clocks, stands, and cases, and discussed pricing. Gina will contact Alzatex.com regarding a 10” display clock and report back to the Board at the next meeting.

Scholarship – 2013: Gina submitted a request to reestablish the scholarship program with the Cincinnati Scholarship Foundation, and it was approved for 2013. The Board agreed to keep the scholarship amount at $500.00 each for the coming year.

Membership: Todd reported that there were 146 members – one additional member since our last meeting. The Board agreed on increasing membership fees for 2013, beginning February 1st. Renewals before this date will honor the 2012 rate.

Newsletter: Needs to be sent out before Thanksgiving if possible - still waiting on a few pieces to be added, including race flyers and the new membership fee notice.

Website:  Group runs will be added to our online calendar. Ryan Smith has set up our Meetup.com account and will begin adding events and group runs.

Social:    Holiday in Lights Run & Annual Holiday Party - To be held Wednesday evening, December 12th; run will start at 6:30 PM – Todd will check with Central Park YMCA to secure this date and time. Party will begin at 8:00 PM at O’Bryon’s Pub & Grill – Gina has submitted a request for the upstairs party room and is waiting to hear back from them.

Races:    Turkey Burner 5 Mile – To be held Saturday, November 24 at England/Idlewild Park in Burlington, KY at 10:00 AM. Race day only entry - $5 members/$10 non-members. Gina will check on a race course.

Winter Wonderland 5K – To be held Saturday, January 26th at Englewood/Idlewild Park at 10am. Same prices as last year. The Club needs several volunteers to help out with this – Gina will get flyers printed and seek sponsorship, and set up online registration @ runsignup.com. A budget for this race is needed.

Labor of Love Valentine’s Day Race – February 10th at NKU at noon. Discussed changes related to better tracking of teams. A budget for this race is needed.

Group Runs:  New Downtown lunch run on Fridays at 12:15pm, weather permitting. Sunday group run is going well. No one was showing up at the Wednesday evening group run, so it is postponed until further notice.

Specialty Training Runs: Todd will be leading a Thanksgiving Day Preview Run downtown on November 17th at 9:00 AM. Gina will possibly host a Jingle Bell Preview Run on Saturday, December 1st at 9:00 AM to run the race course.

Merchandising: No updates.

Next Board Meeting: Tuesday, December 4th at 7:00PM at Potbelly’s – Rookwood, Norwood, OH.
