RUNNERS' CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
November 6, 2008
Clifton Recreation Center, Cincinnati OH

Members Present: Todd Hofacre, Ed Hunter, Lonnie Smith, Ryan Woolley

Guest: Lindsay Webb, Alzheimer’s Association, Greater Cincinnati Chapter (see March Madness 5K below).

Meeting Minutes: Minutes from the October 2 Board Meeting were approved without changes.

Membership: Currently stands at 132. Todd will call the person willing to take over Membership. Paypal currently handles our Membership, and Active.com, our on-line race registrations. Todd is considering switching our Membership to Active.com as well. The Board may consider instituting a policy whereby we give a free membership to members who volunteer at five or more Club events during the year. The Board also will consider increasing each dues category by $5.00 (single membership would be $20 per year; family membership would be $25.00 per year).

Newsletter: The latest issue has been completed and printed and should be received by members during the week of November 10. Articles for the next issue will be due January 12, 2009. For 2009, the Board agreed that we should insert one running-related cartoon per issue (total of four per year). Todd is aware of a website that makes such cartoons available for $10.00 each (i.e., $40.00 per year, if we use one cartoon per issue).

Website: The calendar has been updated. Todd will ask Marty if our website could be set up as an “affiliated” site, meaning that if someone goes to our site and clicks on a related link (e.g., a link for “Road ID”) and subsequently purchases the item, the Club would receive a portion of the sale.

Social:
Holiday-in-Lights Run: Tuesday, December 9, 2008, beginning and ending at the Williams YMCA. Refreshments afterward at O’Bryons. All arrangements have been made.
Holiday Party: Saturday, January 3, 2009. Todd will check on the availability of the lodge at Swaim Park in Montgomery. The rental cost is $150.00. Tentatively, the Club would provide meat and beverages and members would bring sides and desserts.

Races:
March Madness 5K (Loveland, Saturday, March 21, 2009, 11 a.m.): Lindsay Webb indicated that the Alzheimer’s Association, which organizes a fall Memory Walk event, wants to hold a 5K race to reach a younger age group. (The Alzheimer’s Association supports education about Alzheimer’s disease.) The race would include a portion of the Little Miami Bike Trail. A post-race party would follow at The Works in Loveland, where participants could watch the basketball tournament. Lindsay asked what runners really like about a race; we replied, in particular, post-race parties, door prizes, and goodie bags. We noted that good publicity is critical to holding a successful event. She asked for volunteers for her race planning committee. Todd agreed to serve and said he would send out an email request for other volunteers.
Great Bearcat Run (5K, UC campus, Sunday, November 9, 2008, 9 a.m.): 54 runners had pre-registered as of today. Registration will be at Gate 2 of Nippert Stadium near the track. The start will be at Gettler Stadium by the track, and the finish, at the 18-yard line of Nippert Stadium. The UC Running Club will provide volunteers for the course. RCGC will handle registration and the finish line. Tom will set up a water stop.
Thanksgiving Day Race
(10K, Paul Brown Stadium, Thursday, November 27, 2008, 9 a.m.): It appears that the Club will play no role in this year’s race. We will not set up our tent for bag storage this year.
Reindeer Romp (5K and 10K, Crosby Township by Miami Whitewater Park, Saturday, December 13, 2008): The Club will do timing and will receive $50.00 plus $1.00 per runner. We may ask the UC Running Club to help provide volunteers and share the race proceeds with them.
Flying Pig Marathon (Sunday, May 3, 2009): A kick-off breakfast will be held December 3 at the Marathon headquarters , 644 Linn Street, Cincinnati.
Brewery Run: Another person is attempting to revive this race. Since it originally was a Club race, the Club is looking at its options for protecting the race. Todd will discuss the matter with Dave Nelson.

Group Runs: Todd may change the start time for the Thursday Clifton run to 5:30 p.m.

Miscellaneous: At the next Board meeting, we will consider whether or not to offer scholarships in 2009. Jeff and Jenny should have input on this matter considering their proposed budget for 2009. If we wish to offer scholarships next year, we should notify the Cincinnati Scholarship Foundation by early January so they have adequate time to notify schools and request letters of recommendation.
